    Responsible for the efficient and effective management of the Managing Director’s Office and provide support to the Senior Management team. Ensure that all relevant information is communicated in an efficient and timely manner to the appropriate recipients.

    Duties and Responsibilities

    Your main responsibilities in this role include the following:

    • Management and support to Manging Director’s Office:

    • Maintain, co-ordinate and review the Managing Director’s diary;

    • Arrange and co-ordinate meetings, video conferences, travel bookings including accommodation, corporate hospitality, etc;

    • Manage and action all telephone calls;

    • Prepare, collate and produce Managing Director’s letters, board papers, reports and other correspondence to a standard that reflects the professionalism of the company;

    • Monthly preparation and submission of Managing Director’s expenses;

    • Make appropriate arrangements for Managing Director’s visitors including car parking, access and security arrangements;

    • Maintain the filing system and office stationery supplies/materials.

    • General duties to include:

    • Maintain and review the contact list of all service partners/customers;

    • Book accommodation for corporate personnel as requested;

    • Support relevant departments/functions within the business:

    • Provide administrative support for relevant committees, working groups, forums and meetings: perform research (where required), prepare agendas, minutes and action plans, co-ordinate follow up actions and responses;

    • Organise and host meetings to include scheduling and co-ordinating meeting logistics;

    • Assist with creation/modification of presentations, manuals, procedures, instructions and other various documents;

    • Co-ordinate company presentations;

    • Assist with the planning, co-ordination and hosting of company/department events

    • Visitor escort duties;

    • Maintain office and stationery supplies;

    • Distribute the morning post and monitor the use and upkeep/maintenance of the franking machine;

    • Respond to any emergency appropriately, and participate in any Emergency Exercise, as detailed in the Emergency Orders within the aerodrome manual
