    Ensuring compliance with the FAA, DHS, and TSA regulatory requirements for each employee and department by reviewing new hire paperwork, accurately entering new hires personal information into the system for payroll and tax purposes, performing internal audits of background files, and maintaining open communication with all departments on background policies and procedures.

    Duties and Responsibilities

    Your main responsibilities in this role include the following:

    • Assist with Receiving, reviewing and tracking all new hire, rehire, and transfer paperwork.

    • Help to ensure timely and accurate processing of background checks.

    • Fingerprint and process new hires.

    • Constant contact with vendors to ensure accurate information was received and returned to us.

    • Accurately perform detailed review of New Hire paperwork collected by department for new hires, contractors and return from leave employees.

    • Ensure accuracy and that all paperwork is in compliance with regulations from FAA and TSA.

    • Enter cleared employees in ESS accurately and in a timely manner (i.e. APS, MX and Crew).

    • Assist with conducting audits of Background files and with Safety Department to ensure external audit compliance.

    • Assist with internal and external audits.

    • Assist with distributing and filing pre-employment drug notifications and test results.

    • Use reports and metrics to verify that all active employee and contractor files are accounted for and are in compliance with FAA and TSA.

    • Use reports and metrics to ensure all terminated employee and contractor files are in appropriate designated location.

    • Assist with E-Verifying all new hire I-9 Forms in US DHS database.

    • Verify that I-9 have been completed correctly.

    • Verified Government issued ID's in person.

    • Update US DHS Database with information verified on I-9 form.

    • Ensure entry of information is done within three (3) business days of DOH. Communication Skills.

    • Contact stations Managers and Supervisors regarding new hire paperwork received and inform them on what is needed.

    • High volume of email and telephone communication with station Managers and Supervisors requesting additional paperwork for new hires.

    • Regular communication regarding updated forms required in the new hire packet.

    • Regular communication with vendors to ensure accurate information has been provided and verified.

    • High volume of communication with all stations including Airport Services, Maintenance and Crew Departments regarding new hire paperwork.

    • Detail explanation of new hire process both via email and telephone.

    • May perform other responsibilities as assigned. Responsibilities and duties may change when circumstances dictate (e.g. emergencies change in workload, rush jobs or technical developments).


    Job Requirements

    • High School Diploma or GED.

    • Two (2) years HR experience.

    • Able to successfully manage multiple tasks simultaneously.

    • Strong knowledge of computers to create and maintain databases, reports and documentation.

    • Flexibility to meet changing deadlines under pressure.

    • Strong organizational skills to prioritize work and complete assignments on-time.

    • Self-starter and ability to perform daily duties under low supervision.

    • Thorough knowledge of Microsoft products such as Excel, Outlook and Word.

    • Flexible to travel to various Spirit locations including overnight stays.

    • Knowledge of Federal Aviation Administration and Transportation Security Administration requirements and regulations preferred.
