    As an Administrative Assistant, you will provide essential administrative support to the Regional Manager - Line Maintenance LATAM. This role requires a team player with meticulous work standards, basic project management skills, the ability to multitask, and exemplary interpersonal skills. Your responsibilities will include offering administrative guidance to the Regional Manager and managing the region's station invoices and employee qualifications. You will handle correspondence, process local invoices, and oversee local budgets in the region. The role involves coordinating meetings locally and remotely, preparing and distributing meeting materials, and creating PowerPoint presentations, spreadsheets, and reports for the international maintenance branch. You will manage contact lists, complete expense reports, and oversee vacation and attendance records for the group. Maintaining accurate records and filing systems is crucial, as is providing support for special projects. Additional responsibilities include proactively following up with team members to ensure timely deliverables, requesting and managing airport ramp passes, replenishing department supplies, liaising with external vendors, and handling other assigned tasks.


    Requirements

    To succeed in this role, applicants must have at least a high school diploma and a minimum of 5 years of experience in providing administrative support. Fluency in both English and Portuguese, both orally and in writing, is required, with French and other languages considered an asset. Applicants must have sound knowledge and proficiency in computer skills, including Word, Excel, and PowerPoint. Excellent organizational skills are essential, including the ability to plan, set priorities, and manage tasks through systems. Strong communication and interpersonal skills are necessary, as well as the ability to solve problems, remain customer-focused, and be approachable. A high degree of diplomacy, discretion, professional maturity, and judgment is required. Applicants must be able to multi-task without sacrificing quality, work well under pressure, meet deadlines, and work with minimal supervision. Familiarity with the airline industry is an asset, and applicants must be flexible and willing to work extended hours when needed.
