Gulf Air Group is seeking an Executive Secretary based in Bahrain.
To organize the office and provide a full secretarial service to the Chief (Division Head), ensuring an efficient and effective workflow. Responsibilities include managing the Chief’s appointments, meetings, and conferences, preparing required agendas and documents, and maintaining records of commitments. The role involves handling incoming and outgoing correspondence confidentially, preparing documentation for the Chief’s signature, and delegating tasks as needed. The Executive Secretary will receive guests, maintain office supplies, arrange travel and reservations, answer customer queries, and direct complaints to the appropriate departments. Additional duties include assisting the Chief in managing time by resolving staff issues, organizing conference room schedules, and coordinating division tasks such as onboarding, airport gate passes, and visitor requirements. Travel to other offices for administrative tasks and undertaking additional assignments as directed by the Chief are also part of the role.
Requirements
To succeed in this role, applicants must hold a Secretarial Diploma or equivalent, including proficiency in shorthand writing, along with a strong command of both English and Arabic for self-correspondence. Computer literacy is essential. Candidates should have a minimum of 5 to 7 years of secretarial or equivalent office work and office management experience. Must demonstrate strong organizational and interpersonal skills, possess the ability to conceptualize effectively, and be willing to work long and flexible hours.
