About the Role
We are looking for an organized, detail-focused Administrative Assistant to join our Line Maintenance team at Piarco on a fixed-term contract basis. Reporting directly to the Manager, Line Maintenance KIN, you will play a key role in keeping the department running smoothly — from processing invoices and tracking vendor documents in SAP, to coordinating travel arrangements and maintaining leave records for the team. This is not a passive desk role. You will need to stay on top of deadlines, handle multiple requests at once, and work comfortably with confidential information.
What You'll Be Doing?
Correspondence and Documentation – You will prepare, review, and distribute written materials and reports on time, making sure nothing slips through the cracks.
Filing and Record Keeping – Both electronic and hard copy files will be your responsibility. You will respond to internal requests and direct information to the right team members quickly.
Invoicing and Procurement – You will reconcile and submit invoices for approval according to company policies, track vendor invoices in SAP, and ensure all procurement documentation is organized and compliant.
Budget and Payroll Support – You will help prepare and monitor the department's budget. You will also submit monthly leave liability reports, track vacation requests, and prepare approved payroll reports for Human Resources.
Team Coordination – From scheduling ground transportation to arranging duty travel for employees, you will keep the team moving logistically.
Meeting Support – When meetings are called, you will help organize them, record and prepare minutes, and follow up to make sure action items actually get done.
Supplies Management – You will procure and maintain departmental stock and supplies as needed.
What We Are Looking For?
To be considered for this contract position, you must have:
- At least five (5) CXC/GCE Ordinary Level passes, including Mathematics and English
- A minimum of three (3) years of experience in a similar administrative or support role
- Strong, proven proficiency in MS Office Suite — especially Word, Excel, and Outlook
- Experience using SAP Application Software (preferred but not required; we will consider candidates willing to learn quickly)
- A diploma in Administrative Professional Office Management from an accredited institution (an asset)
